A – Types of data processed

Identifying Data
In accordance with Regulation EU 679/2016, visiting the Site and purchasing products sold on the Site may involve the processing of personal data that can directly or indirectly identify a person, such as: name, surname, address, email address, phone number, IP address.

The Site does not require the Data Subject to provide "sensitive" data, as defined by GDPR (art. 9), such as data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or union membership, as well as genetic data, biometric data aimed at uniquely identifying a person, health data, or sexual life or sexual orientation data. If the service requires processing such data, the Data Subject will be provided with specific notice and asked for explicit consent.

Banking Data
When purchasing products on the Site, banking data, such as the card number or bank account details provided for payment, the cardholder and the bank account holder, will be processed.

These data will be processed exclusively by third-party companies managing the payment methods used on the site.

Navigation Data
Navigation data are automatically collected by the systems and software used to operate the Site and are necessary for the functioning of the web services [e.g., IP addresses, browser used, domain names of the systems used by users to connect to the web portal, URI (Uniform Resource Identifier) addresses of the requested resources, request time, method used to submit the request to the server, file size received in response, numerical code indicating the status of the server’s response (successful, error, etc.), and other parameters related to the user’s operating system and computing environment].

Navigation data are used exclusively in an aggregated form to compile anonymous statistics about the use of the Site and to monitor its proper functioning, and do not allow the identification of interested users. They are also deleted immediately after processing in an anonymous form.

B – Purpose of processing

The personal data collected is used to:

  • Send purchased products via email;
  • Respond to contact requests sent by the User;
  • Enable the User to use the Customer Service;
  • Collect anonymous statistical information about the use of the web portal;
  • Monitor the correct functioning of the web portal;
  • Send communications and newsletters, both in paper and electronic format, to the email address provided by the User: if the user decides to subscribe to the www.licensesok.com newsletter only after specific consent, personal data will be processed by the Data Controller for sending commercial or promotional communications, updates such as exclusive offers, special events, and promotions. C – Legal basis for processing

The legal basis for the processing of personal data is the fulfillment of obligations related to the relationship established with the acceptance of the Terms and Conditions, the consent of the interested party, compliance with legal obligations, and the legitimate interest of the Data Controller in performing necessary processing for these purposes.

Execution of a contract
The Data Controller processes Personal Data relating to the User when the processing is necessary for the execution of a contract with the User and/or the implementation of pre-contractual measures.

Consent of the interested party
The optional, explicit, and voluntary submission of emails, messages, or any type of communication addressed to the contact details provided on this Site results in the subsequent acquisition of the sender's address, phone number, or other personal data that will be used to respond to requests. This processing occurs based on the consent of the interested party.

It is ensured that this processing will be based on the principles of legality, fairness, transparency, adequacy, relevance, and necessity as per Art. 5, paragraph 1 of the GDPR. Specific summary notices will be progressively provided or displayed on the pages of the site set up for specific services upon request.

Compliance with legal obligations
The processing of personal data may occur without the consent of the interested party if the Data Controller must comply with a legal obligation.

Legitimate interest of the Data Controller
The Data Controller processes Personal Data relating to the User when processing is necessary to pursue the legitimate interest of the Data Controller or third parties.

Voluntary data submission
Except as required for contract fulfillment or legal obligations, for cookies, and for navigation data, the user is free to provide or withhold their personal data. However, failure to provide data could result in the inability to complete the service.

D – Processing methods and duration

Personal data are processed through IT tools in compliance with Regulation EU 679/2016.

The storage of the processed data will last for the time necessary to achieve the purposes described in this privacy policy and, in any case, for the minimum required period or until an explicit request by the interested party, always respecting the time limits set by law.

The Data Controller commits to adopting all appropriate security measures to prevent the loss, alteration, or unauthorized use of personal data.

E – Place of processing

The processing of data related to the website services is carried out by identified personnel specifically designated according to the purposes of the requested and agreed services.

For these purposes, the Data Controller may use external companies, shippers, consultants, consortia, software and service providers, with personnel identified and assigned, within the purposes defined and ensuring maximum security and confidentiality of the data. In other cases, the collected personal data will not be disclosed to third parties, except with the express consent of the interested party, unless communication to third parties is necessary to comply with obligations imposed by law, regulations, or decisions of control authorities, or is essential to protect the rights of other users or the website itself.

Personal data will be processed and stored solely for the above-mentioned purposes and kept in a secure manner on remote servers managed by leading industry providers that ensure compliance with high standards of protection for the processing of personal data.

This may involve the transfer of data to non-EU countries where all or some of the servers may be located.

Specifically, personal data may be transferred outside the European Union to the company “Shopify” (https://www.shopify.com/legal/privacy), the e-commerce plugin used by the Site managed by the Data Controller.

The processing and storage of data by the above-mentioned provider will occur in a third-country “adequate” as per the decision of the European Commission, particularly the decision on the adequacy of protection provided by the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA) or Privacy Shield certification (USA), or based on contractual clauses or standard contractual clauses approved by the European Commission or binding corporate rules approved through the specific procedure in Art. 47 GDPR.

For the transfer of data to non-EU countries, national authorization from the Data Protection Authority is generally not required. However, authorization from the Authority will still be necessary if a controller wishes to use specific contractual clauses, not recognized as adequate by the European Commission, or administrative agreements between public authorities.

F – Rights of Data Subjects

At any time, the data subject may exercise the following rights:

  • Obtain confirmation of the existence or non-existence of the data and, if applicable, access its content and origin;
  • Verify its accuracy, request rectification of incorrect data, integration of incomplete data, or updating of outdated data;
  • Request restriction of processing if one of the conditions of Art. 18 GDPR applies;
  • Request deletion of data processed unlawfully, or in the presence of other conditions of Art. 17, paragraph 1, letter a), b), c), e), and f) GDPR;
  • Object to processing for legitimate reasons, or in other cases specified in Art. 21, paragraphs 2 and 3, and Art. 22 GDPR;
  • Withdraw consent at any time for the processing of personal data for the purposes specified here;
  • Obtain the release of personal data in a format compatible with standard IT applications to facilitate the transfer to other platforms of your choice without obstructing direct transmission to another Data Controller if technically feasible (so-called data portability right). Requests related to these rights should be addressed to the Data Controller via email (info@licensesok.com).

In case of failure or partial response from the Data Controller to the above requests, the data subject has the right to file a complaint with the Data Protection Authority (www.garanteprivacy.it) or seek judicial remedy as provided in Articles 77 and following of Regulation EU 2016/679 (GDPR).

G – Updates to the policy

Future regulatory updates may lead to changes in the current policy, uploaded to the Site on 01.13.2025.

In the event of modifications, the Data Controller will notify them on the Site.
